Office Move - Project Management

Project Management of an Office Move for a leading UK professional services firm.

Key challenge

A leading UK professional services firm faced challenges such as limited capacity, outdated facilities, and escalating costs in its existing office space. Recognising the need for change, they engaged our project management services to orchestrate a smooth office relocation.

Work completed

Comprehensive needs assessment

Before embarking on the project, we conducted an in-depth needs assessment. We engaged with key stakeholders, including employees, to understand their requirements. By involving the workforce early in the process, we ensured their buy-in and minimised resistance to change. This proactive approach allowed us to tailor the new office space to meet both functional and emotional needs.

Employee engagement

We maintained transparent communication throughout the project. Weekly updates and meetings kept employees informed about the progress. An internal MS Teams channel allowed them to express concerns and ask questions privately. By actively involving employees, we fostered a sense of ownership and minimised anxiety associated with change.

Cross-functional team

Our dedicated team, led by an experienced project manager, ensured a holistic approach. We collaborated with various departments, including IT, facilities, and finance. Regular status updates streamlined decision-making and prevented bottlenecks. The project manager’s forward-thinking mindset ensured alignment with the company’s branding and long-term vision.

Master plan creation

We developed a comprehensive project schedule, covering packing, unpacking, stocking, and cleanup. Ourgoal was to minimise downtime and ensure operational readiness immediately after the move. Rigorous planning allowed us to execute each phase seamlessly.

Risk mitigation

Anticipating potential challenges, we identified risks and devised contingency plans. Whether it was managing unexpected delays or handling fragile equipment, our team was prepared. Our proactive approach minimised disruptions and maintained productivity.

IT infrastructure/equipment

All IT equipment and infrastructure had to be assessed, purchased, and installed during the office move. This was project managed through via Ballards project management team using a third-party MSP to support.

The new IT equipment and networking infrastructure now allows for ease of use and improves efficiency.

Operational involvement

Our project manager didn’t merely oversee from a distance. From coordinating with third-party vendors to arranging furniture layouts, they ensured every detail was executed flawlessly. Our commitment extended beyond contractual obligations.

Aesthetics and staff experience

The new office wasn’t just functional; it was visually stunning. We paid attention to aesthetics, creating an inspiring workspace. On opening day, staff walked into an environment that reflected their status within the company. The positive impact on morale was palpable.

The project was delivered on time and ran efficiently due to the high level of project management expertise from Ballards IT and Digital Transformation team. The professional service firm now enjoys a modern, efficient workspace that aligns with its business objectives, values, and vision. Effective project planning, collaboration, and hands-on involvement were the cornerstones of this successful move.
